Certified Payroll: How It Works
It's easy to produce the contract compliance reports you need right from your MAS 90 or 200 system, thanks to the seamless integration of the Certified Payroll module.
Using Certified Payroll involves three main activities:
- Creating a Job Masterfile and entering labor contract details using Labor Contract Maintenance
If your Payroll module is integrated with the Job Cost module, you can use the Job Numbers defined in Job Cost; otherwise, Job Numbers can be assigned in Certified Payroll Job Maintenance.
Minimum labor rates and fringe benefits, cash paid to plans and cash paid in lieu of fringe benefits are entered by labor code (a.k.a. work classification) for each job using Labor Contract Maintenance. The entered rates and benefits are used to guide you through payroll data entry and to produce the Certified Payroll Report and Fringe Benefit Report.
- Entering payroll information for each job using Payroll Data Entry
When Certified Payroll is installed, the Sage MAS 90 and 200 Payroll module's Payroll Data Entry programs are modified so that a Job Number is requested for each payroll line entry whether or not Payroll is integrated with Job Cost. If a valid Job Number is entered and a Labor Contract exists for the job, a date prompt appears. Date entry is required for payroll line items associated with a Certified Job Number.
The pay rate entered (or defaulted from Payroll Employee Maintenance) is checked against the Job Contract file, and if the rate is less than the minimum hourly rate required by the Labor Contract, a warning message is displayed. Certified Payroll alerts you to regular and overtime rates which fall below the contract minimums, but you may choose to bypass the warning and accept the lower rate. The Certified Payroll Report lists the actual rates paid regardless of contract minimums.
- Printing or emailing the Certified Payroll Report and other reports
Versatile setup programs enable you to establish lists of recipients and direct the system to produce multiple copies of the Certified Payroll Report and Statement of Compliance for each recipient.
